Information for Visiting Researchers
Who Qualifies for a YC Visiting Researcher Library Card
- Someone who has received an official Letter of Invitation from Yukon College to be a Visiting Researcher, which has been signed by a Dean, Director, or Vice President.
- Someone whose Letter of Invitation indicates a time period one month or longer.
- Someone whose Letter of Invitation indicates the member of the faculty at Yukon College who will serve as the Sponsor of the research project.
- And this account must be renewed on a yearly basis if the Visiting Researcher will be in residency for longer than a year, like with all library patrons.
Steps to a YC Visiting Researcher Library Card
- The Visiting Researcher (VR) must indicate to his/her Sponsor that they require library privileges during their residency as a Visiting Researcher
- When the Letter of Invitation is written, library privileges are listed among College services that will be extended to the VR.
- Next, the Sponsor completes the VR Library Card Form and the VR Library Card itself (available from departmental Administrative Staff or Library Staff) with the necessary information.
- The Sponsor emails the Form as an attachment to his/her Dean, Director, or VP Research for the authorizing signatures for both documents.
- The Dean, Director, or VP Research then emails the VR Library Card Form as an attachment to .(JavaScript must be enabled to view this email address) and .(JavaScript must be enabled to view this email address) to keep on file.
- And the VR Library Card is forwarded to the VR upon arrival at Yukon College.
- If the residency period of the VR is extended past the original dates, the Sponsor is required to notify Library Staff by email indicating approval from the relevant Dean, Director, or VP Research.
What Constitutes as “Library Privileges” for Visiting Researchers
- Privilege to borrow circulating materials (books, videos, etc.) from the collection.
- Privilege to access the databases off-campus.
- Privilege to request audio-visual equipment.
- Privilege to request interlibrary loans (ILL).
- Note: This is not an automatic privilege and is only granted on a case-by-case basis, usually if the VR’s home institution will not provide this service.
- Privilege to request library instruction.
Responsibilities of the Sponsoring Department or Division
- To obtain a Yukon College email account for the VR, which is required for the provision of articles from databases and interlibrary loans.
- To pay any library fees that are incurred and not paid by the VR, such as the cost of replacing damaged materials.
- To pay any interlibrary loan fees, if they are incurred.
- To ensure that the VR follows all library policies.
- To notify Library Staff if the VR’s time has been extended longer or ended earlier than first indicated.

- As a member of the BC Library Consortium, we provide full reciprocal borrowing to current students and employees at BC post-secondary institutions for free.

- While we are not a Canadian university nor a member of COPPUL, we honour this agreement with the caveat that the student must provide a valid student card and proof of a permanent address.

How Visiting Researchers Can Give Back to YC Library
- Donate a copy of their work. See Patrons.
- Keep Library Staff informed of new research techniques, fields of interests, and ongoing research projects.
- Give feedback to the Library Staff regarding the library’s collection in their area of specialty. And make purchase and weeding recommendations (purchase and weeding). [Online form in development]
- Suggest opportunities to integrate information literacy instruction and support into subject specialty. See Faculty & Staff Services.
- Advise Library Staff on additional library information that should be included on this webpage to assist current and future Visiting Researchers.
- Advise Library Staff on library services that we are not currently offering, but may be required by Visiting Researchers.
